Team scarf budget: how to plan a scarf fundraiser that actually pays

A team scarf budget has four lines: unit price for your technique and quantity tier, options, shipping and any taxes or duties shown on the final quote. Set your sale price before you order, presell to size the run, and you can fund gear, travel or tifo from the margin.

A team scarf budget comes down to the technique, the quantity tier and a few add-ons. Listed prices are per piece, before shipping, applicable taxes and import duties, and your final quote confirms the delivered price. If you plan to resell the scarves, as many booster clubs, supporters groups and youth clubs do, the real question is not just “what does it cost?” but “how many do we need to sell to come out ahead?” This guide walks through both.

Line 1: technique and quantity tier

Prices follow five tiers: 50, 100, 250, 500 and 1,000 pieces. A tier applies as soon as you reach its quantity: for 180 scarves, you pay the 100-piece rate.

  • Classic knit: the go-to for outdoor stands, warm and reversible.
  • HD knit and HD woven: a bit more per piece, for detailed crests and fine lettering.
  • Sublimated satin: the lowest unit price, takes photos and gradients, but the least warm.

Current per-piece prices for every technique and tier are on the custom scarf pricing page, and the scarf configurator shows the total live as you change the quantity.

Line 2: options

  • Embroidered logo: a per-piece add-on for a raised, premium detail.
  • Woven label: a per-piece add-on, useful if you sell the scarves.
  • Individual poly bags: a small per-piece add-on that makes the scarves ready for a merch table.
  • Rush production: +20% on the order total to shorten production, confirmed on your quote.

Line 3: shipping, taxes and duties

Shipping, applicable taxes and any import duties are not in the listed prices. They appear on your quote, so the number you approve is the delivered price. Use that delivered figure, not the per-piece price, when you work out your margin.

Always check the next tier up

Just below a tier, ordering a few more scarves can cost less in total. The check takes ten seconds:

  1. Multiply your planned quantity by its tier price.
  2. Multiply the next tier’s minimum quantity by the next tier’s price.
  3. If the second number is close to or below the first, order the larger quantity.

Typical cases: 85 to 99 scarves (check 100), 220 to 249 (check 250), 450 to 499 (check 500). Test those numbers in the configurator before you send your request. Extra scarves are only a saving if you can sell or use them, though: a box of leftovers in a storage closet is not.

Turning scarves into a fundraiser

For many groups, the scarf is as much a fundraising tool as a symbol. Here is a simple worksheet.

The worksheet

  • Delivered cost: the total on your final quote, including shipping, taxes and duties.
  • Cost per scarf: delivered cost divided by quantity.
  • Sale price: what you will charge members and fans. Set it before you order.
  • Break-even count: delivered cost divided by sale price, rounded up. That is how many scarves you must sell to cover the order.
  • Profit if you sell out: (sale price × quantity) minus delivered cost.

Every scarf sold past the break-even count is margin. If the break-even count is more than half your order, either raise the sale price, trim the quantity or presell first.

Where the money usually goes

  • uniforms, balls and training gear for a youth soccer club;
  • bus travel for an away day or a tournament;
  • tifo materials, banners and drums for a supporters group;
  • a scholarship, senior night or end-of-season banquet for a booster club;
  • the cause itself, for a nonprofit or charity drive. See our custom scarves for nonprofits.

A few habits keep the numbers honest: name one person in charge of inventory and cash, accept card payments at the table, and track sales by event.

Presell to size your order

Preselling is the best way to avoid leftovers. Share the design link from the configurator with your members, in your group chat or on social media, and open preorders for two or three weeks. Order based on commitments, then add a cushion for walk-up sales on game day.

Your approved design doubles as the sales visual: the free digital proof costs nothing, revisions are unlimited and nothing is produced until you sign off.

Three planning scenarios

A youth soccer club: one design, two audiences

A club wants a classic knit scarf for every player plus extras for parents at the season-opening tournament. It counts players and coaches, adds about 30% for families and lands just under 100: the next-tier check says to round up to 100. More ideas on our custom soccer scarves page.

A supporters group: two designs, one order

A chapter wants a detailed HD knit “home” scarf for members and a sublimated satin scarf with a tifo photo for a one-off match. Each design is priced on its own quantity and each must reach 50 pieces. Individual bags on the satin version make it easy to sell at the bar before the game. See our supporters group scarves.

A hockey booster club on a deadline

A booster club needs 250 HD woven scarves with a woven label for a rivalry game in five weeks. Rush production adds 20% to the order total, which eats into the margin. The lesson: starting two weeks earlier would have paid for itself. See our custom hockey scarves.

Build the calendar into the budget

Production takes 4 to 6 weeks after you approve the proof. For a home opener, homecoming or the holiday season, order at least 8 weeks ahead: that is what keeps you off rush pricing. Details on our production time page. When your design and quantity are set, a quote request gets you the exact delivered price.

  • Custom wedding scarves

    Custom wedding scarves start at 50 pieces with your names and date: sublimated satin for full color and photos, HD woven for an elegant look, and a knit for a fall or winter wedding. Order at least two months before the big day.

  • How to design a team scarf

    To design a team scarf, pick a technique, set two high-contrast colors, keep the text to about 15 characters, add a clean logo, order at least 50 pieces and approve your free digital proof. Production then takes 4 to 6 weeks, so work back from the date you need them.

  • How to wash a knit scarf

    Wash a knit scarf in cold or lukewarm water, up to 86°F (30°C), by hand or on the gentle cycle in a mesh bag, then lay it flat to dry. Keep it out of the dryer. Woven and satin scarves follow the same rules, with a cool iron on the back if needed.

Frequently asked questions

What drives the price of a custom team scarf?

Two things: the technique (classic knit, HD knit, HD woven or sublimated satin) and the quantity tier (50, 100, 250, 500 or 1,000 pieces). Options like embroidery or individual bags add a per-piece amount on top.

Can we order several designs in one order?

Yes, as long as each design reaches the 50-piece minimum. Each design is priced on its own quantity.

Is shipping included in the listed prices?

No. Listed prices are estimates per piece and exclude shipping, applicable taxes and import duties. Your final quote confirms the delivered price.

Do we have to charge sales tax when we resell scarves at a fundraiser?

It depends on your state and your organization's status. Many states have specific rules for nonprofit and school fundraisers, so check with your state's revenue department or your accountant before the sale.

How early should we order for the season?

Production takes 4 to 6 weeks after you approve the proof. Aim to order at least 8 weeks before your first home game or the event where you plan to sell.
